Enrollments & Courses (Instructor Help)

New Enrollments are pushed into Canvas daily at 6am, 11am, and 4pm.

Canvas Enrollments

CETL cannot add users to current "for-credit" classes in Canvas. These enrollments, no matter the role, must flow directly from Banner. Contact your Departmental Scheduler and ask them to request the additional user(s) be added to your "for-credit" course via the Classroom Scheduling request form.

  • Undergraduate students cannot be added as Teachers, TAs, or Graders because these roles have grading access.
  • Participants and Designers DON'T HAVE GRADING ACCESS.
  • CDAR works directly with Classroom Scheduling to add Notetakers as Participants.
  • Email canvashelp@uidaho.edu for access to "for credit" courses taught in past semesters.

Authentication Requirements
The University of Idaho requires an active UofI computer account and DUO to access the Canvas server. Consider using the free version of Canvas if you wish to have non-UofI individuals to participate in a Canvas course.


Canvas Courses

"for-credit" Courses

  • "for-credit" courses appear in Canvas three months before semester start.
  • Newly created "for-credit" courses are pushed into Canvas daily at 6am, 11am, and 4pm.
  • Fill out the Cross-List/Merge Course Request Form to have sections merged/combined.
  • Remember to Publish each Canvas Course by going to the Course Home Page and clicking Publish. This gives your students access to the course content.
  • Need to recover submissions and grades for a student that dropped your section (switched sections after the start of the semester)? Email canvashelp@uidaho.edu for assistance.

[PREP] Courses
Request a [PREP] space to start working earlier or to share course content with peer instructors. [PREP] course individuals in the Teacher role may to enroll additional Teachers.

[UIDAHO] Courses
Request a [UIDAHO] space for a non-credit course such as a workshop, peer collaboration, communication, or document sharing space. [UIDAHO] course individuals in the Teacher and TA roles may to enroll individuals as Teachers, TAs, Designers, or Students.


Canvas Roles

New Enrollments are pushed into Canvas daily at 6am, 11am, and 4pm.

Instructors are added by your Department Scheduler through Courseleaf CLSS. All instructors listed in Banner for course sections (on SSASECT) are included in the feed file for Canvas. This includes all instructors even if they aren’t flagged as the Instructors of Record (e.g., secondary instructors, tertiary instructors).

  • Faculty and advisors must complete the FERPA tutorial annually to gain/retain access to the Faculty/Advisor tab in Vandal Web. Complete this tutorial by going to VandalWeb > Personal Information > Take the FERPA tutorial.
  • Department/Colleges must submit the proper paperwork to Human Resources to give Adjunct Faculty and Temporary Instructors early access (up to two weeks prior to the start of a term) to Canvas and Vandal Web. Note: The Provost Office establishes the paperwork and due date submittal requirements for early access.

Students are automatically added to Canvas courses four weeks before the semester starts for Fall and Summer terms. For the Spring term, students are added to Canvas courses the first day UI returns to work in January. However, they won't gain access to a course until it is Published by the instructor.

Additional Enrollments must be requested by your Department's Scheduler via a request form sent to Classroom Scheduling.

  • Teachers are responsible for teaching and grading "for credit" courses. They can build, modify, and delete course content. They may create, manage, and grade all types of student assessments. They have full access to the course gradebook. Undergraduate students cannot be added as a Teacher.
  • TAs (a.k.a. Teaching Assistants) can build, modify, and delete course content. They can create, manage, and grade all types of student assessments. They have full access to the course gradebook. Note: Undergraduate students cannot be added as TAs to Canvas. This is because Undergraduate students are not permitted full access to course gradebooks. Undergraduate students are permitted to grade individual assignments and assist with instruction, but this work must be done external to Canvas.
  • Designers don't have access to student work, discussion posts, or the course gradebook. If a person needs to build/modify course content and also access student work, use the TA role.
  • Graders assist instructors with grading but cannot help build/modify course content. They may grade all types of student assessments and have access to the course gradebook. Note: Undergraduate students cannot be added as graders to Canvas. This is because Undergraduate students are not permitted full access to course gradebooks. Undergraduate students are permitted to grade individual assignments but must do so external to Canvas.
  • Participants have the same permissions as students. Those added to the Participant role include CDAR Notetakers (added directly via CDAR) and other non-enrolled individuals needing student access.
